CRM Lead Routing Automation
Turn scattered enquiries into an accountable sales workflow
A founder should know who owns each opportunity, what happened last and what happens next. MASH helps design reliable CRM routing and follow-up around that responsibility.
Request a Strategy CallWhere lead handoffs break
Enquiries arrive through forms, referrals, partner introductions and campaigns. Records land in separate inboxes, owners are unclear and follow-ups become memory-dependent. Before adding automation, trace a real enquiry from capture to qualified next step. Identify duplicate records, missing permissions, stage definitions and unresolved ownership.
Better dashboards alone cannot fix an undefined process. Agree who can assign, reassign, close and audit an opportunity before integrating systems.
Five controls worth implementing
Capture
Keep necessary source fields, consent and timestamps.
Deduplicate
Flag uncertain contact matches for review instead of silently merging them.
Route
Apply agreed ownership and fallback rules when an owner is unavailable.
Follow up
Create a named task and permitted acknowledgement, stopping on reply or opt-out.
Audit
Surface unassigned enquiries, integration failures and overdue actions.
When to use AI rather than rules
Rules are usually the better choice for timestamps, stage changes, permissions and routing. AI can summarize unstructured enquiries or draft responses for a person to review. It must not invent budget, purchase intent or promises. Confirm API access, rate limits, permissions and data handling before selecting integrations.
A measurable pilot
Start with one channel and one team. Capture baseline unassigned leads, duplicate rate, response time, completed follow-ups and qualified next steps. Test missing fields, unavailable owners, replies and opt-outs. Compare pilot results with baseline, including errors and maintenance burden. No conversion improvement is guaranteed.

Frequently asked questions
Do we need a new CRM?
Not necessarily. First assess your current systems, permissions and data quality.
Is AI necessary for lead routing?
Usually not. Deterministic routing rules are often more reliable.
How do we know the pilot worked?
Compare defined operational and qualified-lead metrics against your actual baseline.
